Terms of Service

These terms govern your use of the Valdosta Amateur Radio Club ("VARC") membership portal at members.w4vld.com. By creating an account or using the portal, you agree to these terms.

1. Membership

VARC offers annual membership plans at published rates. Memberships run for one year from the date of payment. You must provide accurate information when registering, including a valid email address and, if applicable, your FCC-issued amateur radio call sign.

2. Payment & Billing

• All payments are processed securely by Stripe. VARC does not store your payment card details.
• If you choose annual auto-renewal, your card will be charged automatically each year at the current rate. You will receive a reminder email before renewal.
• You can cancel auto-renewal at any time through the Stripe customer portal (accessible from your Billing page). Cancellation takes effect at the end of your current membership period.
• One-time payments do not auto-renew. You will need to manually renew when your membership expires.

3. Refund Policy

Membership dues are generally non-refundable. If you believe a charge was made in error, contact us at [email protected] within 30 days and we will review your request on a case-by-case basis.

4. Add-On Services (Extras)

VARC offers optional add-on services such as tower camera access. These are billed separately and may have different pricing for members vs. non-members. Add-ons are subject to the same billing and cancellation terms as memberships. Access to add-on services may be suspended if the associated subscription lapses.

5. W4VLD.com Email Accounts

Active club members may request a @w4vld.com email account. These accounts are provided as a benefit of membership and are subject to the following:

• Email accounts are disabled if your membership lapses and may be re-enabled upon renewal.
• You are responsible for the content sent from your @w4vld.com address. Do not use it for spam, illegal activity, or anything that would reflect poorly on the club.
• VARC administrators have access to manage (but not read the contents of) your email account.
• VARC reserves the right to disable or remove an email account at its discretion.

6. Acceptable Use

You agree not to:

• Provide false information in your profile or registration
• Share your account credentials with others
• Attempt to access other members' accounts or data
• Use the portal or any VARC service for illegal purposes
• Redistribute webcam feeds or other member-only content without permission

7. Account Termination

You can delete your account at any time from your profile settings. VARC reserves the right to suspend or terminate accounts that violate these terms or the club's bylaws. If your account is terminated, any active subscriptions will be cancelled and associated services (email, camera access) will be disabled.

8. FCC Compliance

If you hold an amateur radio license, you are responsible for ensuring your call sign and license information are current. VARC syncs license data from the FCC database for informational purposes, but compliance with FCC regulations is your responsibility.

9. Disclaimer

The membership portal is provided "as is." VARC is a volunteer-run amateur radio club, not a commercial service provider. We do our best to keep the portal running smoothly, but we make no guarantees of uptime or availability. We are not liable for any damages arising from use of the portal or interruption of services.

10. Changes to These Terms

We may update these terms as needed. Material changes will be communicated via email to active members. Continued use of the portal after changes constitutes acceptance of the updated terms.
